Siamo Recruitment are pleased to again be recruiting for one of our clients this time in Faringdon, Oxfordshire for a Student Services and Attendance Officer in a local secondary school.

JOB PURPOSE

Context

• To ensure the accurate and timely recording of student attendance.

• Communicating daily with parents and carer’s ensuring all absences are followed up and accounted for in accordance with the school Attendance Policy.

• To be an active member of the Student Services and Attendance team in providing a high-quality service in supporting students on a daily basis with a varied range of issues.

Responsibilities

• Working as part of the Student Services and Attendance team manage the daily administration of pupil attendance.

• Accurately record daily attendance in a timely manner and in accordance with the school Attendance Policy.

• To maintain accurate attendance records and advice pastoral staff aware of any issues or concerns identified

• To regularly communicate by daily text messages / phone calls / email / letters to parents / carers notifying them of absent students, ensuring all absentees are accounted for in a timely manner and in accordance with the school Attendance Policy

• Collate, maintain and update attendance data i.e., inputting timely information such as exams, school trips, music lessons and sporting events etc.

• Notify staff of student absences and highlight safeguarding concerns to the relevant member of staff.

• To provide support to the Data Officer and Attendance Officer to ensure accurate reporting of attendance data

• In liaison with the Data Officer encourage good practice in the completion of registers and actively follow up incomplete lesson registers. Follow up missing registers and report noncompleted tutor registers.

• To have a thorough working knowledge of the attendance components of the MIS.

• To provide attendance reports as required including evacuation registers

• To keep accurate and up-to-date records and organise workload in a methodical, efficient and official manner.

• To liaise as required with teachers, support staff, parents, and students with professional demeanour with sensitivity and confidence, using initiative as required.

Student Services Duties including but not limited to:

• Carry out student services duties on a daily rota basis

• Be an active member of the Student Services Team, providing a high-quality service to the students such as first aid or wellbeing, general queries, lost property, contacting parents / carers.

• To act as first point of contact for students requiring assistance. To be available and approachable to student’s needs, referring onwards to Form Tutors, Heads of Year as required.

• First aider - Administering first aid to students, manage medical condition information and medicines

• Maintain documentation of students with specific health conditions and undertake any relevant training

• To be sensitive and helpful when dealing with parent enquires

• To be alert to any concerns i.e. Safeguarding and inform designated staff member as necessary

• Ordering stocks of first aid and stationery supplies.

• Handling lost property, securing all valuables

• Allocate student lockers and administer issue of keys and the taking and returning of deposits

• Respond with speed and accuracy to all email, phone and in-person enquiries
