Key Responsibilities for the Office Assistant:

  • Take detailed meeting notes and prepare review letters using the company’s CRM system.
  • Attend external client meetings with an Advisor, including driving the Advisor when necessary.
  • Manage technical queries by coordinating with the Advisor to ensure accurate and consistent responses.
  • Prioritize client satisfaction to provide exceptional service.
  • Offer proactive and approachable support to the entire team.
  • Redirect queries to enable the Advisor to focus on business expansion.
  • Stay informed about market trends, regulations, and key developments to enhance your effectiveness.
  • Efficiently book and manage client prospect meetings and review sessions.
  • Develop strong client relationships, serving as their main contact in the Advisor’s absence.

 

The Ideal Office Assistant will have:

  • Proven experience in a support role within financial services or a similar sector.
  • Excellent communication skills, both written and verbal, with the ability to clearly convey complex information.
  • Outstanding organizational skills and attention to detail, particularly in record-keeping and client management.
  • The ability to build and maintain trust-based relationships with clients and colleagues.
  • A proactive and self-motivated approach with strong time management skills.
  • A calm and professional demeanor, even in high-pressure situations.
  • Familiarity with CRM systems and proficiency in Microsoft Office, especially Excel.
  • A strong commitment to client confidentiality and a professional, ethical approach to work.
